Create a functional specification with AI
Describe your initiative or paste your requirements specification. The AI turns it into a functional specification with numbered requirements, acceptance criteria and open points, as a Word file to keep editing.
What is a functional specification?
A functional specification describes how the contractor will implement the requirements: solution, architecture, interfaces, data migration, operations and acceptance. It is the binding basis for delivery and sign-off between client and contractor.
The client writes the requirements specification, which describes what is needed and why. Good functional specifications therefore reference the requirement IDs, so every deliverable stays traceable. See the functional specification template and the requirements specification template for structure and chapters.
A functional specification with AI in 4 steps
- Describe the initiativeA few sentences on goal, current situation, systems and constraints are enough. If you have a requirements specification, paste its key requirements.
- Choose document type and areaSelect functional specification and the area: ERP, CRM, software, website, DMS or other.
- Review the draftGo through requirements, acceptance criteria and the collected open points. Assumptions are marked.
- Download as WordKeep editing the .docx file with styles, align it with the client and use it as the basis for offer and acceptance.
What the AI writes into the specification
What the result looks like
The CRM will provide lead records with source, organisation or person, contact details, responsible sales representative, location, status, expected value and next action. Status changes will follow a configured workflow from new to qualified, disqualified or converted.
Acceptance: A tester creates a lead, completes mandatory fields, changes it through each permitted status and verifies that invalid status changes are rejected and the next action is visible.
Users will create quote records linked to a customer and opportunity, with quote number, date, value, validity, responsible representative and status.
Acceptance: A tester creates a quote, changes it through the permitted statuses and confirms that the quote is searchable from the customer and opportunity record.

Generator, chatbot or template?
All three lead to a functional specification. They differ in how much structure you have to provide yourself.
| Generator (PathHub) | Chatbot (e.g. ChatGPT) | Word template | |
|---|---|---|---|
| Structure | Fixed: chapters, numbering, priorities | Depends on the prompt | Fixed, but empty |
| Acceptance criteria | For every requirement | Only if explicitly asked | Write them yourself |
| Link to requirements | Reference per requirement | Manual | Manual |
| Open points | Collected and marked as assumptions | Rarely flagged | Maintain yourself |
| Output | Word file with styles | Text to copy | Word file |
| Effort | A few minutes plus review | Several rounds of follow-ups | Hours to days |
A chatbot is great for ideas and wording. For a document that serves as the basis for acceptance, a fixed structure with testable criteria matters.
Where the AI reaches its limits
- It doesn't know your systems, contracts or internal agreements. Anything not in the description becomes an assumption in the document.
- Quantities, deadlines, prices and legal statements must be checked and completed. The draft is not legal advice.
- The functional specification remains the contractor's contractual document. Alignment with the client and sign-off can't be delegated to the AI.
- Don't enter confidential details or personal data. The description is sent to our AI provider to create the document.
Checklist: is the specification ready for acceptance?
- Every requirement has a unique ID and references the requirements specification.
- Every requirement has a testable acceptance criterion.
- Priorities (MUST, SHOULD, COULD) are assigned.
- Interfaces, data migration and operations are described.
- Data protection and, where relevant, the works council are covered.
- Assumptions and open points are resolved or scheduled.
- A change procedure for new requirements is agreed.

Frequently asked questions
Can AI create a functional specification?
Yes. From a description of the initiative or a requirements specification, the AI drafts a structured document with numbered requirements, priorities and acceptance criteria. Review technical details, figures and legal points before use.
Is the generator free?
Yes. Without an account you can create up to three documents per day and download them as Word files. With a free account you then continue in PathHub.
Can I turn my requirements specification into a functional specification?
Yes. Paste the key requirements into the description and choose the functional specification document type. The AI picks up the requirements and describes the implementation.
Is an AI-written functional specification contractually binding?
It is a draft. It becomes a contractual basis only once contractor and client have agreed and approved content, assumptions and acceptance criteria.
What happens to my description?
It is sent to our AI provider to create the document and is not used for training. Documents without an account are deleted after seven days. See the privacy policy and Trust Center.
How does this differ from the requirements specification generator?
It is the same generator. Choose requirements specification for the client document and functional specification for the contractor document.
